As the client’s documents are handled many times during the imaging process, 3SG has implemented processes and procedures to secure client documents and an organizational structure to deliver the highest quality end product.

3SG meets client demands for security and accountability by using a combination of software tracking and hard copy forms to identify a document at any time. This coupled with the human checking and rechecking of documents and images at all steps of the production process sets 3SG apart from competitors.

Our Document Imaging Production Process

Project Planning – Our certified project managers write custom instructions using guidelines for professional and ethical conduct from the Project Management Institute (PMI).

Receive and Bar Code Boxes – Incoming boxes receive bar codes to identify and track boxes throughout the production process.

Document Pre-preparation – Hard copy documents are compared to the packing list and document tracking is initiated.

Document Preparation – Documents are physically prepared for scanning using customized procedures established by the client and the 3SG project manager.

Scan and Check – pages are scanned under the direction of a 3SG associate who visually checks each image and adjusts images as needed.

Special Handling – optional, custom enhancement and preservation services for the original documents.

Automatic Processes – software tools to enhance, separate, and index images.

Quality Assurance – 100% of the scanned images and indexing are reviewed.

Export and Convert – images are saved in the client-specified deliverable format.

Quality Assurance – final images and indexing are reviewed.

Quality Control – images are delivered to the client.

Where and Why

Highly-sensitive documents may require onsite processing, while archives, also called back files, can be scanned at any of our U.S. locations. Indexing and other document processing, along with quality assurance, may be done at our wholly-owned Sri Lanka location for private sector clients.
